*New!* Updating your Artfinder listings in bulk
Our new bulk edit functionality allows you to make changes to all of your listings at once.
Using this function, you can edit your prices, update your tags, titles, update quantities, and update the classification (Category, style, substrate, subject). While other categories can also be changed, data will need to be an exact match in formatting to what is already there, or the system will not apply the changes.
Please see the step-by-step instructions below.
Go to Seller Portal > Artworks, where you will see a new window on the right hand side of the page, titled “Bulk Management Tool”.
Under this new function, you will have two available actions:
Export to xslx: This allows you to download a full list of all your artworks (published and unpublished) in an excel file format.
Import from xslx: This is how you will import/upload all of the changes that you have made to your artwork listings. Our system will notify you of any errors in the document so that you can review everything before changes are applied.
1. Download the Template:
- Click on the Export to xlxs button.
- Your browser will redirect you to the ARTWORK EXPORTS page.
- Here, you’ll see a list of your latest exported files. The most recent file appears at the top. It’s important to note that depending on the number of artworks you have, this may take some time to process.
- Click Download to save the Excel file to your computer.
2. Make Amendments:
- Update your existing artworks as needed.
- Ensure that all required fields are filled out correctly (This is: category, style, substrate, subject, title, description, quantity, price). Do not edit or delete the slug.
- You can leave optional fields blank or fill them as desired.
- Save your changes
3. Upload the changes:
- Return to your Seller Portal > Artworks.
- Click on the Import from xlxs button.
- Select your edited Excel file and upload it.
4. Successful data validation (changes are applied)
- The system will automatically check and validate your uploaded file.
- Any changes to existing data will be highlighted by row number.
- To apply all the valid changes, click the Apply button.
- If the changes are successful, the status will show as Applied.
- As a reminder, Artworks will be published if they have the correct aspect ratio, have a shipping table attached, have a valid price (more than the minimum price) and if the subscription of the user allows publishing more artworks.
- All other changes will need the artwork to be published manually by the artists.
5. Unsuccessful data validation (changes cannot be applied)
- If there are invalid entries, they will be listed alongside their respective row numbers.
- For example: Row 114 - Date is invalid; Row 667 - Price must be a positive amount, etc..
- Update the excel document and reupload it to the platform to apply the new changes OR if you want to ignore the incorrect data, you can just apply the changes that are correct and the system will ignore the rest.
- If some rows fail to update, the status will show as Failed, and detailed information about the applied or edited rows will be available in the info column.
You will not be able to use this functionality to update an artwork slug, publish artworks, create new listings, delete artworks or bulk edit fine art prints.
Important considerations
- If one entry in one row on the spreadsheet is invalid, the whole row will be ignored. Additionally, if any fields are invalid, the whole row will be flagged as invalid.
- If required fields are missing, the whole row will be ignored and will be shown as invalid
- If rows are valid but artwork cannot be published then the changes will be applied, and you’ll be informed which artwork will be set to unpublish
- If the product is currently on sale, the price cannot be updated
